Helping Businesses Automate Compliance and Regulatory Routine Tasks

Human Wox is designed for organisations that are managing complex regulatory requirements. Human Wox is built on two foundational systems - the orchestration engine and compliance library. Together, they enable businesses to manage compliance across people, vendors, and assets, from initial onboarding to ongoing certification, without relying on manual tracking, spreadsheets, or siloed tools.

The Problem

The Underlying Challenge

With organisations in the UK facing an ever-evolving landscape of workforce compliance regulations, as a team, we conducted online research and used existing data to highlight key issues that were familiar to most organisations. The goal was to gain better clarity on how companies manage compliance processes and the common challenges they faced.

Over 81 per cent of UK businesses still rely solely on spreadsheets to document and manage compliance, leading to fragmented data and audit risks.

Governance, Risk, and Compliance (GRC) teams continue to manage compliance manually, resulting in high administrative overhead and limited real-time visibility.

Lack of real-time expiry alerts, no single source of truth, and cumbersome audit preparation as top pain points.

While we recognised an existing system of compliance regulations by organisations, we saw an opportunity to create a platform to streamline the process, creating an automated workflow system to improve compliance validity.

As a team, we had one singular question to answer: "How do we automate 80% of regulatory processes without disrupting familiar workflows?"

Streamlining Solutions

To answer the HOW, I had to highlight key design solutions that could be tied to the business goals. Human Wox's automated solution can help organisations seamlessly carry out compliance regulatory processes.

Compliance Library

Creating extensive regulatory objects that covers various individual document checks like : Right to Work, DBS, insurance docs, that would be organized by industry and region. Also mixing-and-match objects to build custom packs tailored to roles, departments, or assets, creating an automatic update system where changes to object can be pushed automatically to all relevant packs, ensuring ongoing accuracy.

Orchestration Engine

Structuring an automatic workflow that assigns packs by role, site, or contract; schedule checks; send reminders; maintain audit logs. Having a dashboard with compliance status, upcoming expiries, and non-compliance flags.

Integrations & Security

Syncing with IDSPs (Identity Service Providers) for verified ID checks, HRIS for employee data, and asset systems for equipment certifications.

Bringing all hands on deck

To quickly iterate on our ideas, I led a team of 4 ( 2 designers and 2 engineers), and we tested these ideas using prompt engineering and vibe-coding. We created a well-detailed prompt and ran it through the AI tool (Lovable).

The goal was to identify quickly constraints from a product and technical point of view; this was also an opportunity to create alignment between technical feasibility, design solutions and user needs.

This iterative session armed us with enough practical design solutions, and we were itching to jump right into Figma…lol

With clarity comes direction and a purpose-driven design solution. Armed with the clarity of the problem and the knowledge of how we would use design to solve it, we set out to design an intuitive, user-friendly platform.

Clear dashboard for prompt decision-making

This dashboard's goal is to ensure that users have real-time activities that clarify decision-making. It also helps users see the bigger picture when it comes to issues with employee compliance. The dashboard also captures an intuitive way to integrate an AI assistant, creating a seamless experience for users to carry out multiple actions.


Making complex functionality look simple

At Human Wox, one complexity we tried to tackle was managing the complex nature of compliance verification. The goal is to make the process seamless and as short as possible. We focused on minimal user interaction and a high-level automated system, from running automation to verify documents to setting reminders on expiring documents.


Creating reusable packs to reduce task repetition

Based on the issues we discovered with compliance regulations, reducing complex workflows would improve productivity and create a good user experience. So we designed an intuitive flow for users to easily create compliance packs based on certain parameters, and be able to reuse this pack for specific scenarios.

Conclusion

Human Wox addresses critical pain points in workforce compliance through a user-centered design approach that transforms fragmented, manual processes into an integrated, automated system. By combining a structured Compliance Library with an intuitive Orchestration Engine, the solution streamlines complex workflows and reduces cognitive load for compliance teams.

Validation Through User Testing

While the product remains in development, user testing and prototype validation demonstrate strong early indicators of success:

  • 45% faster pack creation and assignment workflows in prototype testing

  • 19% reduction in time spent on routine compliance tasks during user trials

  • 90% task success rate across key user flows in usability testing sessions

Impact and Future Potential

The design successfully addresses core user needs identified during research: reducing manual effort, improving process visibility, and enabling strategic focus. Early testing suggests Human Wox will not only mitigate audit risk but also empower compliance teams to shift from reactive task management to proactive, strategic workforce planning.

As the product moves toward launch, continued user feedback and real-world metrics will be essential to validate these promising early results and refine the user experience for maximum impact.
